General Description

The Intake/Scheduling Clerk is responsible for providing full, appropriate appointment schedules for the entire weatherization crew each work day. High level of customer service is required for both clients and co-workers to ensure the best possible experience for all. Help Spectrum meet its obligations under the various energy contracts, while enforcing the Spectrum Community Service values of safety, quality, efficiency, documentation, and compliance.

Primary Responsibilities

  • Provide exceptional customer service for all incoming and outgoing calls.
  • Communicate with Weatherization Intake Specialists to ensure prospective clients receive an application.
  • Verify required application documentation is complete and qualifies for program. 
  • Schedule weatherization assessments, installations, and inspections.
  • Accurately assemble and verify all client electronic and physical folders meet the necessary qualifications required by the weatherization program.
  • Accurately enter all new client information into the ServTraq software.
  • Follow up with subcontractors to verify completion dates to schedule.
  • Use our software ServTraq to manage, schedule, and track all weatherization jobs.
  • Use Parcel quest to verify dwelling characteristics.
  • Assist Weatherization Billing Specialist with data entry for HPO files.
  • Re-direct and inform co-workers, when needed, to remedy or assist incoming or outgoing calls.
  • Perform other duties as assigned.

Minimum Qualifications

  • High School Diploma/GED required.
  • Associates degree or equivalent two years of related work experience.
  • Excellent computer skills, Google Suite, and others.
  • Experience with weatherization measures and energy efficient technologies is a plus.
  • Cooperative and willing to assist others, team player.
  • Excellent customer service skills and experience working with the public in diverse communities
  • Attention to detail VERY important, neat handwriting required.

Physical Demands

This work requires the following physical activities: walking up stairs, bending, stooping, kneeling, twisting, reaching, sitting, standing, walking, lifting up to 20 lbs. of material, finger dexterity for activities such as data entry and calculator use, grasping, repetitive motions.

It was so wonderful to see you again for our second Twilight Tasting at Page Mill Winery. The beautiful evening among the vineyards presented a GREAT opportunity to reconnect with everyone and was a successful FUN-raiser supporting seniors!

Kudos to Yafa Hummus, Schnookie’s Cookies and Spectrum’s own Senior Meals kitchen for providing the delicious food options. Congratulations to all our raffle winners! There were some amazing prizes donated by Advent Properties, Supervisor Nate Miley, Truffle Shuffle, Page Mill Winery & Schnookie’s Cookies.

Our guests, included an amazing group of Meals On Wheels volunteer drivers, Fall Prevention participants and supporters from all over Alameda County attended the event and helped Spectrum to raise critical funds for Senior Service programs.

Job title:             Connect Coordinator

General Description

The Connect Coordinator provides excellent customer service for our senior clients and volunteers in the Connect Program. Essential duties include: registering, assessing, matching volunteers and clients, schedule development, volunteer recruitment, program outreach  and data entry for full contract compliance.

 

Primary Responsibilities

  • Assist in recruiting and training volunteers
  • Registers and re-registers Connect participants.
  • Provide In-home visits to assess the seniors’ needs and living situation and make appropriate referrals
  • Assist in outreach and presentations to raise community awareness of services
  • Keep detailed records of visits and hours served
  • Work with Program Manager to keep the number of visits/calls within the service goal for the fiscal year
  • Organize and arrange visits schedule for efficiency
  • Prepare and get all support information and records to the main office on time
  • Provide client visits  when needed
  • Attend all staff meetings and in-service training meetings
  • Work closely with MOW Program Manager
  • Perform other duties as assigned

BBQing quickly became a hobby for Lee Thomas as he began BBQing for events, family and friends. Witnessing the joy of people eating a variety of BBQ meats and vegetables cooked on charcoal grills, Lee started GrilleeQ in hopes of sharing his hobby and passion for BBQ with people to enjoy.

Lee is also very passionate about the San Leandro community. As a long-time friend and supporter of Spectrum Community Services, it made sense to partner with Lee for our first-ever “Drive Thru BBQ” fundraiser.

Lee donated all of his time, equipment and grilling expertise so the proceeds from this event will benefit Spectrum’s Senior Service Programs, including Senior Meals and Fall Prevention. The event was also sponsored by the Ford Store San Leandro, who has been a go-to resource for Spectrum’s meal delivery van fleet.

The turnout was great for this first-time event, as it sold out! Spectrum supporters were delivered their BBQ plates in branded bags that not only held their delicious food, but also program information, giveaway items and other promotions.

Job title:                   Meal Delivery Driver Team Lead

General Description

The Delivery Driver Team Lead (Team Lead) is responsible for the safe and timely transportation of food and interoffice mail between the partner sites and the kitchen. In addition to meal delivery driving, the Team Lead is responsible for the maintenance, repair and registration of all agency vehicles, as well as implementing a safety and training program for all staff and volunteers who drive Spectrum vehicles. Team Lead assists the Food Service Manager to coordinate delivery routes, and complete administrative tasks.

Primary Responsibilities

  • Develop and maintain efficient routes for deliveries
  • Participate in packing of all food, beverages and supplies for efficient deliveries
  • Oversee and ensure safe transport of meals and supplies and inter-office mail to each meal site, and maintain required schedule
  • Flexibility to be assigned to a daily route or cover for other drivers as needed
  • Ensure cleanliness of all food transport containers and vans on a daily basis
  • Responsible for updating driver procedure files, communicating to the team and ensuring each van is equipped with updated van binder
  • Supervise and assist in daily chores to prepare for next day production
  • Create/complete daily delivery forms
  • Follow all Hazard Analysis Critical Control Points (HACCP) principles
  • Follow all ServSafe principles
  • Accurately maintain required records
  • Assist Kitchen Manager with weekly driver’s safety and team meeting, and keep records
  • Responsible for ensuring timely maintenance and repairs for all company vehicles
  • Accurately maintain all required vehicle records
  • Responsible for ensuring each vehicle is equipped with updated information binder based on program needs and general safety
  • Develop and maintain vehicle policies and procedures
  • Train and enforce vehicle policies and procedures with all drivers
  • Keep accurate and timely records of all training
  • Make recommendations for improvements, new vehicles and equipment
  • Procure equipment and materials following agency procurement policy
  • Ensure cleanliness of vehicles on a regular basis
  • Report any problems with vehicles to Program Manager, and communicate with others impacted by maintenance schedules
  • Attend all training sessions and staff meetings
  • Assist Food Service Manager as needed
  • Perform other duties as assigned

  • Fingernails are to be kept short. No false nails, nail polish, or false eyelashes allowed.
  • No jewelry, such as necklaces, dangling earrings, watches, or bracelets.

  • Non-slip, closed toe shoes.
